System vs. template: what changes when the whole staff works the same way
"I already have a template for that" is the phrase that slows a club down the most. A template is a starting point; a system is the guarantee that the whole team reaches the same place.
What a template solves
A template solves the format of one specific document: a report, a session, a call-up. It’s useful, but it stays on the surface.
What a system solves
- That two different people produce the same result.
- That information flows between areas without being rewritten.
- That the club doesn't depend on anyone's memory.
The template is the mold. The system is the factory.
The cost of not having a system
Without a system, every season reinvents the previous year’s work. With a system, every season builds on what already worked and only improves what needs it.
