Naming the chaos: why your club needs a system, not more folders

Every club piles up folders, chats and spreadsheets until no one knows where the latest version of anything is. The problem isn't a lack of tools: it's the lack of a system that names them and connects them.

The symptom: everyone has "their own" version

When each person stores information their own way, the club's knowledge lives in people's heads, not in its structure. The moment someone leaves, it leaves with them.

  • Duplicate documents with different names.
  • Decisions made twice because no one remembers the first time.
  • Staff onboarding that depends on "go ask so-and-so".

The solution isn't tidying up faster

Tidying up faster only produces a more orderly chaos. What changes the game is defining a common language: what each thing is, what it's called and where it lives.

A system doesn't make you work more. It makes you work only once.

Where to start

Start by naming the three or four processes you repeat most in a season. Give them a name, a single place, and get all your staff to use that place. The rest sorts itself out.
